These Terms of Use govern your access to and use of the PlayWell website, forms, communications, and related online services.
By using the PlayWell website or submitting a form, you agree to these Terms of Use and acknowledge our Privacy Policy.
1. About PlayWell
PlayWell provides game-day readiness support for community sports events. PlayWell services may include RESPOND Pack rentals, staffed wellness stations, hydration and cooling resources, basic first-aid support within defined role and service boundaries, event readiness support, documentation, notification, escalation, and sponsor-supported community sports activations.
PlayWell is a brand operated by Roundtable Consulting LLC.

2. What PlayWell Is Not
PlayWell does not provide medical diagnosis, medical clearance, return-to-play decisions, emergency medical services, athletic training services, or care beyond the defined scope of the applicable PlayWell service.
PlayWell services do not replace emergency services, licensed medical care, participant supervision, event management, or any safety, medical, emergency, staffing, or other resources required by applicable law, facility policy, league rules, governing-body requirements, or the event organizer.
PlayWell services are not a replacement for:
- Emergency medical services
- Licensed medical providers
- Coaches
- Parents or guardians
- Event organizers
- Facility staff
- School personnel
- Required safety or emergency planning
PlayWell personnel support, document, notify, and escalate within defined role and service boundaries.
3. Website Use
You may use the PlayWell website to learn about PlayWell, submit interest forms, request event review, contact our team, express sponsorship interest, or submit staff interest.
You agree not to use the website to:
- Submit false, misleading, or inaccurate information
- Interfere with website functionality or security
- Attempt unauthorized access to PlayWell systems
- Upload malicious code, spam, or harmful content
- Misrepresent your identity, organization, authority, or relationship to an event
- Violate applicable law or the rights of others
4. Form Submissions
Submitting a form through the PlayWell website does not guarantee approval, PlayWell support, sponsorship, staffing, partnership, employment, contractor onboarding, or event support.
PlayWell may approve, decline, hold, or request more information for any submission.
This applies to:
- League and organizer intake forms
- Sponsor interest forms
- Staff interest forms
- Event review forms
- Contact forms
- Any other website submission
5. Event Review and Support
Submitting an event for review does not guarantee PlayWell support.
Events must be reviewed, approved, funded or allocated, staffed when applicable, and confirmed before support is delivered.
PlayWell may consider factors including:
- Event date, time, and location
- Lead time
- Event type and size
- Sport or activity
- Age group
- Setup feasibility
- Staffing availability
- Funding or sponsor allocation
- Weather, heat, or operational complexity
- Scope fit
- Organizer responsiveness
- PlayWell's current capacity
PlayWell may decline an event request for any reason, including but not limited to operational limitations, staffing constraints, scope concerns, insufficient lead time, funding limitations, or safety-adjacent concerns outside PlayWell's role.
6. Event Organizer Responsibilities
Event organizers, leagues, schools, facilities, and partners remain responsible for the overall operation, supervision, safety planning, emergency planning, rules, staffing, permissions, and management of their events.
Organizers are responsible for:
- Providing accurate event information
- Confirming location, setup, parking, and access details
- Maintaining appropriate supervision of participants
- Managing coaches, officials, volunteers, and participants
- Following applicable laws, facility rules, league rules, and safety requirements
- Contacting emergency services when appropriate
- Ensuring parents, guardians, or responsible adults are available when needed
- Communicating event changes to PlayWell in a timely manner
7. Sponsor Support and Activations
Sponsors may support approved PlayWell services, events, or community sports initiatives through RESPOND Pack sponsorships, staffed PlayWell Station sponsorships, event activations, multi-event initiatives, regional campaigns, or other approved sponsorship structures.
Sponsor interest, form submission, or payment does not guarantee placement, exclusivity, event participation, or activation at a specific event unless confirmed in writing by PlayWell.
Sponsorship availability and activation may depend on event approval, organizer permissions, geography, timing, operational feasibility, sponsor fit, funding, staffing, and other applicable requirements.
Specific sponsorship pricing, deliverables, branding and visibility rights, payment terms, reporting, cancellations, renewals, exclusivity, and other obligations may be governed by a separate written sponsorship agreement.
8. Staff Interest and Event-Based Opportunities
Submitting staff interest does not guarantee acceptance, onboarding, or event assignments.
PlayWell may review applicants based on role fit, experience, availability, location, communication, transportation, credentials, and operational needs.
If selected for follow-up, applicants may be asked to provide additional information, documentation, credentials, or complete onboarding steps.
Applicants may be required to verify professional licenses, certifications, training, or other qualifications applicable to the selected role before onboarding or accepting assignments.
PlayWell event-based opportunities may be contractor-based and assignment-based. Meeting minimum qualifications or completing onboarding does not guarantee event assignments.
9. No Medical Advice
Information on the PlayWell website is provided for general informational and operational purposes only. It is not medical advice, health advice, athletic training advice, legal advice, or emergency guidance.
In an emergency, call 911 or contact appropriate emergency services.
10. Accuracy of Information
You agree that information you submit to PlayWell is accurate, current, and complete to the best of your knowledge.
PlayWell is not responsible for delays, errors, missed communications, or operational issues caused by inaccurate, incomplete, outdated, or misleading information submitted through the website or forms.
11. Intellectual Property
The PlayWell name, logo, brand, website content, text, designs, graphics, materials, processes, and related materials are owned by or licensed to PlayWell.
You may not copy, reproduce, modify, distribute, or use PlayWell materials without prior written permission, except for ordinary website viewing or communication with PlayWell.
12. Third-Party Links and Services
The PlayWell website may link to third-party websites or services. PlayWell is not responsible for third-party websites, services, content, policies, security, or practices.
